Accounting outsourcing in Kyiv for companies, sole traders and representative offices

We take the accounting function in full: primary documents, bank, payroll, tax and financial reporting. A named accountant runs the account and an auditor reviews it every quarter, so errors are found by us rather than by the tax authority during an inspection. That is the difference between outsourcing to an audit firm and hiring a freelance bookkeeper.

Who it suits

Who outsources accounting to us

LLC

Companies from a handful to a hundred staff

An in-house accountant is not yet worth the cost, or no longer copes. We close the whole ledger and carry responsibility for filing deadlines.

Sole traders

Entrepreneurs on the single tax or the general system

The income ledger, returns, social contribution and VAT where applicable. We also watch the income threshold so that the tax group does not change mid-year unnoticed.

Foreign owned

Representative offices and subsidiaries

Ukrainian accounting plus a monthly package in English for the head office. More: accounting for foreign companies.

Broken records

When the accountant left without a handover

We rebuild the data first and take the account on afterwards. More: accounting restoration.

Scope

What we run every month

Documents and bank

Receipt and processing of documents, bank statements, cash, reconciliations with counterparties and control of receivables and payables.

Payroll and HR

Calculations, taxes and contributions, sick leave, annual leave, orders and timesheets. Separately: payroll outsourcing.

Taxes

Corporate income tax, VAT with invoice registration, single tax, withholding tax and every return filed on time.

Financial statements

Annual and interim statements, filings with the tax authority and statistics office and, where needed, an IFRS package for the group.

Inspection support

Answers to tax authority queries, preparation of documents for an inspection and attendance during it.

Auditor oversight

Every quarter an auditor of the firm reviews the account: risk assessment, testing of complex transactions and a letter of findings to management.

Getting started

Four steps in two weeks

01Diagnostic review

We look at the current state of the books, the filings made and the tax exposure, and tell you what looks wrong before any engagement letter. Free of charge.

02Handover

We take over the database, the documents and the balances, and reconcile the database against the returns already filed so that no inherited error stays silent.

03Working rules

We agree by which date you send documents and when you receive the reporting. Fixed dates, and they are our responsibility.

04Delivery and control

The monthly accounting cycle, quarterly auditor review, annual statements and, where required, an audit performed by another firm.

Comparison

Outsourcing, an in-house accountant or a freelancer

In-house accountant

Always at hand, but costs salary plus taxes and a workplace, takes holidays and sick leave, and nobody checks their work. For a small company this is often more expensive than outsourcing.

Freelance bookkeeper

The cheapest option, but one person with no backup and no liability in a contract. If they disappear, you are left without the database and without explanations.

Outsourcing to an audit firm

A team runs the account, liability is written into the contract and an auditor reviews the books quarterly. More than a freelancer and usually less than an in-house hire.

FAQ

What clients ask most often

How much does accounting outsourcing cost in Ukraine?

The fee depends on the number of monthly transactions, the tax regime, VAT registration, foreign trade activity and headcount. We send a proposal after reviewing the assignment, normally within one working day.

Who is liable for penalties?

We accept liability for our own errors and state it in the contract. Where the error follows from documents supplied late or incomplete, we work the situation out together.

Do you work in our system?

We can work in your accounting system through remote access, or keep the books on our side and hand over the data. Both work; we choose during the diagnostic review.

Can we outsource only part of the function?

Yes. Payroll and the primary documents ledger are the parts most often outsourced on their own, with the rest kept in house. We agree the working format with your accountant.

We are outside Kyiv. Does this work?

Yes, we work across Ukraine. Documents are exchanged electronically and meetings are held online where needed. Location does not affect the fee.

You are auditors. Can you also audit us later?

No. An auditor does not audit books it kept itself. If an audit becomes necessary, another firm performs it and we help prepare the documentation.
